As our Development Administrative Associate, you’ll be an important part of the Development team at Just in Time for Foster Youth. You’ll provide the behind-the-scenes coordination that helps our fundraising and investor engagement efforts succeed—from keeping our CRM accurate and up to date, to ensuring gifts are processed and acknowledged promptly, to helping coordinate events and communications. 

This is a great role for someone who is highly organized, comfortable working with data, enjoys working across teams, and is always looking for a better way to get things done. 

What does a Development Administrative Associate do?

Keep our donor and development information accurate and organized 

  • Maintain accurate and up-to-date records in our CRM, including donor, volunteer, and organizational information. 
  • Process financial contributions, in-kind donations, and pledges with accuracy and attention to detail. 
  • Prepare regular and as-needed reports that help the Development team understand fundraising progress, donor retention, and campaign performance. 
  • Partner with Accounting to reconcile CRM and financial records. 

Help create a great investor experience 

  • Prepare and send personalized gift acknowledgments and tax receipts promptly and accurately. 
  • Track important investor touchpoints, follow-ups, anniversaries, and other stewardship activities. 
  • Serve as a welcoming first point of contact for routine investor questions and make sure inquiries get to the right person when additional support is needed. 

Keep Development activities moving 

  • Coordinate meetings, schedules, briefing materials, and follow-up for Development and Executive team meetings with investors. 
  • Support fundraising events and investor gatherings by managing RSVP lists, preparing materials and nametags, organizing collateral, and completing post-event data entry. 
  • Keep development materials organized and ready for meetings and outreach. 

Make our systems and processes better 

  • Look for ways to simplify administrative processes, eliminate bottlenecks, and reduce errors. 
  • Create and maintain clear procedures for gift processing, data entry, acknowledgments, and other recurring activities. 
  • Help the team adopt and effectively use digital tools that make communication, tracking, and collaboration easier. 

Connect the dots across the organization 

  • Help ensure the Development team has the information, updates, and deadlines they need to stay on track. 
  • Work with our youth and volunteer services teams to accurately track and acknowledge in-kind donations and volunteer contributions. 

     What You’ll Bring 

    You’re organized, detail-oriented, and dependable—but you also understand that this work is about people, not just processes. You communicate warmly and professionally, can manage multiple priorities, and are comfortable taking ownership of details from start to finish.

    – 1–3 years of experience in administrative, data-entry, operations, development, or similar work.

    – Experience working with CRM or database systems and managing detailed information accurately.

    – Strong Microsoft Office or Google Workspace skills, particularly Excel/Google Sheets and Word/Docs.

    – Strong written and verbal communication skills.

    – Experience supporting events, campaigns, donor/investor relations, or other stakeholder-facing activities.

    – An interest in improving processes and finding more efficient ways to work.

    – The ability to learn new technology and systems quickly.

    – An associate’s or bachelor’s degree in business administration, communications, nonprofit management, or a related field is preferred, or equivalent experience.

    Full-Time | Non-Exempt

    Pay:  $25–$30/hour
